So, you’ve invested in a shiny new club management software – great move! LoveAdmin will transform how your customers book classes and pay for memberships, making the whole experience quicker and easier. But before you kick back and let the software do its job, there are a few things to take care of in the first few weeks to make sure your launch goes smoothly.
In this guide, we’ll explore tips for making the transition as seamless as possible, ensuring minimal disruption to your customers and cash flow!
1. Get the word out early
First things first, make sure everyone knows about the change and what it’ll mean for them. Don’t leave it to the day before the term and expect them to figure it out on their own. Start talking about LoveAdmin (or as they’ll know it – JoinIn) early on, so everyone has time to adjust and register early.
Use all your usual communication channels – email newsletters, social media, your club website, and don’t forget the good old noticeboard at the club itself.
Make sure to highlight the benefits of LoveAdmin and how it’s going to make their lives easier with quicker purchases, fewer booking headaches, and secure payments. Show how LoveAdmin will help them book classes, manage their personal details, see upcoming bookings, and stay up to date with everything going on at the club.
If you’ve had a data import, and your customers are already in the system, it’s easy to email them directly from the contacts page. Simply hit ‘Select all’ and send a mass update. If that’s the case, you can use this handy email template:

If you’re asking customers to register themselves, simply post the link to your booking site on social media, WhatsApp groups, or send it in a newsletter.
We’ve created some images you can download, add your logo too and share along with the below caption on your socials. Make sure to @ us for a repost!

Copy – “We’ve just partnered with LoveAdmin to provide customers with an easy-to-use booking platform. You’ll know them as JoinIn and they will simplify bookings and give customers more control over their personal details, payment methods, and upcoming bookings. Plus, you’ll be able to hear about everything happening at our club!”
2. Make registrations a breeze
One of the first things your customers will need to do is register on the new system. Luckily, you’ve chosen LoveAdmin, and we’ve made sure JoinIn is easy to navigate and user-friendly.
Still, a clear step-by-step guide always helps, especially if you want different groups to purchase multiple membership or add-ons (for example insurance). Having simple instructions for each group, will ensure your members know exactly what to do and how to get started.
3. Get your team trained up
At LoveAdmin, you can invite as many people as you want to your onboarding, training, or support calls. Getting your team trained up and ready for the rollout will ensure minimise disruption to your customers and daily operations.
LoveAdmin is designed to be super intuitive, but as with any new system, there might be the odd teething issue. We’re here to take the stress off your shoulders – with our JoinIn help centre and AI JoinIn assistant, your customers can get direct support without bothering you. For more complex issues or system-related queries, they can submit a ticket to our support team.
That said, it’s still a good idea to have someone on hand at your club to deal with any non-system related queries, to keep registrations running smoothly.
4. Tempt people to sign up
Who doesn’t love a good incentive? Encourage your members to register early by offering a little reward. Try a discount on their first class booking or an early-bird discount for club merchandise. With LoveAdmin, you can easily set up an expiry date on your discounts, so they automatically switch off when you want!
You could also turn it into a bit of fun and run a raffle for early sign-ups, with the chance to win some cool prizes.
5. Promote the benefits
Change can be daunting for some people, so make sure you highlight the benefits of the switch clearly. Whether that’s in an email or social post, emphasise how the change will make booking classes, purchasing merch, and staying up to date with club news easier.
Chances are most of your members will be accessing the system from their phones, so if you haven’t already, shout about how LoveAdmin is mobile-friendly. It’s super easy to book a class or check the schedule on the go, making life even easier for your members.
Address any concerns upfront, too. For instance, some people might worry about data security, so reassure them that their information is safe and compliant with GDPR. Our system protects data and keeps payments secure, so you and your customers can have peace of mind.
You can even give them a heads-up about what will appear on their bank statements to prevent any confusion and cancellations. For more info on what appears on your customer’s bank statements, click here.
By following these steps, you’ll ensure your club’s LoveAdmin launch gets off to a flying start. It’s all about making the transition smooth for your members and showing them the value of using the new system. Best of luck with your launch – remember we’re here to support you every step of the way.
